Rodney District Council is
committed to assisting event organisers in the development and
coordination of events in open public spaces.
The role of our Events and
Filming Facilitator is to book outdoor venues,
coordinate the issuance of permits to use those venues and to provide
information and assistance to help you to have a smooth and successful
event.
Whether it be a parade,
concert, festival, community event, private activity, wedding, film or
other activity, our
Events and Filming Facilitator can provide
contacts and liaison to aid you in organising a successful event.
If you are planning filming in the District, please refer to our section
specifically on filming:
Film Rodney
Things to consider when
planning an event:
·
How many
people will be attending?
·
Is your chosen
venue big enough or appropriate for the activity you intend?
·
What times
does the event start and finish?
·
What times do
you need for set up and pack down?
·
If it is an
event such as a sporting activity where people will be actively
participating, how many participants AND spectators are you expecting?
·
How will the
safety of spectators and participants (or attendees) be ensured?
·
A risk
analysis or plan for health and safety is always recommended with events
that involve members of the public, as is having a Public Liability
Insurance Policy, in case of accidents. You may wish to refer to
OSH Guidelines
when planning an activity.
·
If your event
is on the water or at a beach, what times are the tides?
Follow the
link for tidal predictions
Land Information.
·
If on the
road, do you have a Traffic Management Plan by a registered contractor or
are you certified yourself?
·
If required,
how many marshals will you have on site, how will they communicate with
each other and how will they be identified?
·
Where will people park?
Rodney
District local papers are a good medium for advertising your event and
several have ‘What’s On" columns where you can advertise for free.
Alternatively you may wish to consider radio advertising on Times FM or
banners and signs in prominent places.
We welcome any events that you would like to
advertise on the
Rodney
District Council website "What's On in Rodney" page. Please
contact us on 0800 426 5169.

Q. Why do I
need to fill out a form when a phone call was enough in the past?
A. Until recently there was no dedicated Events role at
Rodney District Council. Now we have a full time
Events and Filming Facilitator whose role is to facilitate the process of issuing a permit
for your activity. That means that the form you fill out can be sent to
one person or several in order to gain approval for your activity.
Q. Can I just
go and use a park for my activity?
A. Open public space is there for the use and enjoyment of members of the
public so yes, you can hold your activity without a permit. However,
it is recommended you contact our Events
and Filming Facilitator
anyway as
there is a chance that another activity may be scheduled for the same time
and place. Our Events and
Filming Facilitator can also advise
if you require
additional consents such as building consents, resource consents etc.
Q. Do I have
to pay for a permit to use a park or reserve?
A. Not at the moment. A fee schedule will be set in place, however it is likely that there will continue to be no charge for
small private activities and community events such as festivals, parades
and fundraisers.
Q. What would
happen if someone else was using a space I had booked?
A.
Prior to your event we issue you with a permit that can be used to request
people to vacate the area you wish to use, if their presence will
interfere with your activity. Remember however, that public parks are
designed for the use of all members of the public.
To apply now, please fill
in the
Application Form
(202k) and
Waste Management Plan
(22k). Please note: Event
Applications must be received 6 weeks in advance of the event.
