What You Need To Run An Event

Event co-ordination

Rodney District Council is committed to assisting event organisers in the development and coordination of events in open public spaces.

The role of our Events and Filming Facilitator is to book outdoor venues, co-ordinate the issuance of permits to use those venues and to provide information and assistance to help you to have a smooth and successful event.

Whether it be a parade, concert, festival, community event, private activity, wedding, film or other activity, our Events and Filming Facilitator can provide contacts and liaison to aid you in organising a successful event.

Things to consider when planning an event: 

  • How many people will be attending?
  • Is your chosen venue big enough or appropriate for the activity you intend?
  • What times does the event start and finish?
  • What times do you need for set up and pack down?
  • If it is an event such as a sporting activity where people will be actively participating, how many participants AND spectators are you expecting?
  • How will the safety of spectators and participants (or attendees) be ensured?
  • A risk analysis or plan for health and safety is always recommended with events that involve members of the public, as is having a Public Liability Insurance Policy, in case of accidents.  You may wish to refer to OSH Guidelines when planning an activity.
  • If your event is on the water or at a beach, what times are the tides?
  • If on the road, do you have a Traffic Management Plan by a registered contractor or are you certified yourself?
  • If required, how many marshals will you have on site, how will they communicate with each other and how will they be identified?
  • Where will people park?

 

Advertising your event

Rodney District local papers are a good medium for advertising your event and several have ‘What’s On" columns where you can advertise for free. Alternatively you may wish to consider radio advertising on Times FM or banners and signs in prominent places.

Our Arts Advisor can help if you are interested in applying for the ‘Creative Communities New Zealand’ funding for assistance with arts & cultural activities.

Money is available in two funding rounds, one in May and the other in November. In addition, small grants of up to $500.00 can also be approved each month.
